Quote, Order and Delivery Process

A step-by-step guide to ordering and taking delivery of your new car

How to order your new scheme vehicle

Step 1

Once you have registered on this website you should log in using your Username and Password. You can access a Choice List under the ‘Driver’ area where you will be able to view the vehicles that are available to you.

Once you have decided which vehicle you would like as well as the interior and exterior colours and any optional extras, you should request a quote via your Scheme Co-ordinator. Your Scheme Co-ordinator will be a dedicated person within your company who will process quotes and order vehicles on your behalf.

Your Scheme Co-ordinator may ask to see:

  • Completed Employee Eligibility Form Download
  • UK Driving Licence.
  • A recent payslip.

Please Note: If your Driving Licence was obtained before June 2015, you will need to show the counterpart as well as the card.

Step 2

Once your quote has been printed or emailed to you, you will need to visit the Driver Dashboard. Under ‘Quotations’ the number will indicate that you have a quote awaiting authorisation. If you wish to proceed with the quote, select ‘Authorise’.

Step 3

Once you have accepted your quote, your scheme documents will be issued. In most cases, you will receive an email with a link to the website and instructions for signing your scheme documents electronically, as well as an SMS with a unique PIN code which you will be required to sign them. In the event that we do not hold a valid email address and/or valid mobile phone number, your scheme documents will be sent in the post to the corresponding address that we hold for you

Please take the time to read your scheme documents and ensure that you are satisfied with them, including all Terms and Conditions and Return Vehicle Condition Guidelines before proceeding to sign. Your scheme documents will include instructions to your employer to deduct the relevant amounts from your pay as applicable. You should retain the additional copy documents for your reference.

Step 4

Upon receipt of your signed scheme documents, Car Benefit Solutions will execute (counter-sign) the relevant scheme documents and send a copy back to you.

Car Benefit Solutions will then order your vehicle via your Scheme Co-ordinator.

Taking delivery of your new vehicle

Step 1

Your Scheme Co-ordinator will contact you once the vehicle is available and will make arrangements for delivery or your new vehicle and collection of any returning vehicle.

Step 2

Fully comprehensive insurance is required from the time and date you expect to take delivery of your vehicle.

If you are responsible for insuring your car, please ensure that the proper cover is in place prior to delivery of your vehicle. If your employer has arranged insurance for your vehicle, please ensure that you have read and understood all policy requirements and guidelines.

Should you require any assistance please contact your Scheme Co-ordinator or the CBS Helpdesk for further information.

Step 3

On the day of delivery, please take the time to familiarise yourself with the vehicle's controls and operating instructions, as described in the handbook.

You will be asked to sign a condition report confirming that the vehicle is in an acceptable condition. It is important that you take the time to check that everything is as you would expect in a new vehicle. Subsequent claims may be rejected if any faults have not been noted at the point of handover.

Your first payroll deductions in respect of your new scheme vehicle will normally take place from the month after the month in which your vehicle is delivered.
